Vehicles Module

A module dedicated to viewing, adding, editing, and archiving the vehicles registered on your Fleet account. The vehicles table contains the following information about the vehicles; vehicle name/plate number, status, groups, drivers, location, odometer, and engine hours. Vehicles module interface also provides a number of extra actions, like searching for a vehicle, sorting, and filtering vehicles according to different factors, in addition to exporting the list of vehicles from the Fleet account to an external directory by clicking the three-dotted icon on the upper right side of the screen.

Creating A Vehicle

There are three ways to add a new vehicle to your Fleet account; manually, by importing the vehicle/s, and by integration with another system.

  • 1- Adding a vehicle manually

To add a new vehicle manually, click ‘Add New’ on the upper right side of the screen, a new window with 8 tabs will open, fill the mandatory fields in all the tabs and enter all the available information about your vehicle.

The mandatory fields about your vehicles include: name, VIN number, vehicle type, make, status, vehicle branch, and plate number.

  • 2- Importing A Vehicle

To import a vehicle or a list of vehicles to your Fleet account follow these instructions:

  • choose the ‘Import file’ option from the three-dotted icon on the top right side of the vehicle list module

  • Browse your computer and choose a data file or drag and drop that file.
  • Your import will be queued and the system will notify you when it’s done.

  • 3- Adding Vehicles by Integration:

Fleet is integrated with BURAQ PRO; an automatic vehicle location system from AFAQY. Integration with BURAQ PRO means that the two system will be synced with each other, so any existing vehicles from BURAQ will be added to Fleet, any newly-added vehicles to BURAQ will also be added to Fleet, and this also works in case of deleting or editing the data of vehicles on BURAQ PRO.

Editing A Vehicle

To edit a vehicle, go to Edit from the edit icon , update the information of the vehicle, and click Save.

Archiving A Vehicle

To archive a vehicle, click the archive icon , confirm your action and the vehicle will be sent to ‘Vehicles Archive List’. To restore or permanently delete a vehicle go to Vehicles Archive and choose the required action.

Vehicles Dashboard

From ‘Vehicles List’ click on any vehicle’s name and you will open ‘Vehicles Dashboard’ where you can control all the modules and sub-modules that are related to your list of vehicles.

Vehicle Overview

In ‘Vehicles Dashboard’ you can see an overview of the vehicle’s profile; vehicle’s name, plate number, type, make, model, year, status, odometer, engine hours, and assigned driver. The dashboard also contains information about vehicle’s insurance costs, fuel costs, total costs of the vehicle, open issues, and overdue issues.

Insurance Payments

If the vehicle is covered by insurance, this sub-module will show the list of its insurance payments.

To add a new payment, click add new, a new window will open where you can fill the information about contract date, expiration date, vendor, reference, amount, and any further notes that you want to add.

Purchase Installments

This sub-module is exclusive to vehicles that are paid for with installments. It contains the list of vehicle’s purchase installments classified into two types, Paid and Not Paid Installments with the payment date that the system will notify you with when the payment is due, related vendor that you purchased the vehicle from, reference, and installment amount. When an installment is marked as paid it will be sent to the ‘Paid’ list. You also have the option ‘Settle’ which allows you to settle a bulk of installments at once.

To settle a bulk of installments, click ‘Settle’, a new window will open where you can choose the vendor, payment date, and the amount of money that you are supposed to pay. Check the option ‘Paid’ if the settlement had been made and the vehicle is paid for, and click Save to settle your installments.
